Mutual trading
Owing to our obligations on Mutual Trading, the club is obliged to invoice all members direct for any meetings or functions taking place.
Numbers
Final numbers should be confirmed by telephone no later than 4.00pm, two working days before the event. I would respectfully point out any cancellations after this period will be charged in full. Please note that the Banqueting Office is open between 9.00am and 5.00pm, Monday to Friday only.
Dining Room bookings
Bookings for the Main dining Room are for a minimum of 81 people. You will be charged for this number as a minimum if the room is not released at least 28 days prior to your function.
Notwithstanding the above, the club reserves the right to move your booking into another room if the function number falls below this minimum
Guest List
All Members are required to show a valid Membership Card to the doorman on duty at the entrance of the Club; all guests must also be signed in. In order for us to direct your guests smoothly and efficiently to your meeting or function room I would be obliged if you supply a list of those attending for our doorman. Any guests not appearing on the list will be asked to remain in the Front Hall so that you may enter their names in the guest book in the usual way. I look forward to receiving your list by post, fax or e-mail, whichever is the most convenient to yourself.
Reciprocal members
Please note that, as with all functions for a reciprocal member a 10% surcharge is added to the final bill. We also ask for a letter of introduction and credit card details prior to the event.
Cancellations
In case of a function being cancelled the following charges will apply:
- 2 weeks prior to the function, room hire will be charged
- 1 week prior to the function, room hire and 33% of the food account
- Less than 1 week, room hire, 66% of the food account and any other expenses incurred
- On the day, room hire, 100% of food account and any other expenses incurred
Dress regulations
Members and their guests are expected to be properly dressed at all times in the Club House or may otherwise be asked to leave by the Secretary or senior member of staff present Gentlemen are expected to wear jacket, collar and tie. Ladies should dress accordingly: culottes, shorts, mini skirts and the like are not permitted but divided skirts, tailored trouser suits, cocktail and dinner suits are permitted. (Note for guidance: trousers are acceptable when worn with garments, which would be acceptable if worn with a skirt.)
Polo-neck sweaters, leather jackets, denim material, wrangler-type cords, tracksuits and T-shirts, training shoes or deck shoes and the like casual wear is not acceptable.
Children
Children under 8 years of age shall not be admitted to the Club.
Mobile telephones
The use of mobile telephones is strictly prohibited within public rooms and all public areas of the Clubhouse.
Smoking
Smoking is not permitted in any area of the Club including meeting and function rooms. This applies to staff, Members and their guests alike. We would be obliged if you could inform your guests of this legal requirement.
Gratuities
Members are respectfully reminded of the Club’s Rule prohibiting tipping of staff. It is a dismissible offence for a member of staff to accept cash gratuity. A discretionary 5% contribution to the staff fund will be added to all function bills.
